Which personal data do you collect?

We collect personal data through the trial-class request form and the online membership registration form. The data we collect and the reasons for collecting it are listed below.

• Age or date of birth: When someone attends a trial class or registers as a member, we need to know their age group. This helps us prepare the class and determine the correct membership.
• First and last name: We use names to distinguish requests and registrations from different people and to address you personally.
• Telephone number and email address: We need to contact you after you request a trial class or register. A class may be cancelled because of a holiday or other circumstances. We also use these details for communication about membership, payments and practical matters.
• Payment details: We process the information needed to handle payments correctly.
• Exam invitations and responses: To organise examinations, we process the exam date and time, the member's name, target grade, fee breakdown, the decision to participate or decline, an optional alternative certificate name and an optional note for the senseis.

How do you secure online exam-invitation responses?

The invitation link contains a random, single-purpose access token. Before personal data is displayed, we also send a short-lived verification code to the email address already on file. Access secrets are not stored in readable form, expire automatically and the page is excluded from search-engine indexing. Only authorised administrators can view the optional note.

Do you share my personal data with third parties?

In some cases we use external service providers for email, invoicing or payment processing. These parties process personal data only on our behalf and solely for the purpose for which it was provided. We never sell or disclose your personal data to third parties for commercial purposes.

Can my personal data be used for marketing?

We do not use personalised marketing and do not use your personal data to send offers, advertisements or other marketing.

Where is my personal data stored?

The information you provide through our forms is stored securely and used only for membership administration and communication. Only authorised people within our organisation have access to it.

How long is my personal data retained?

Trial-class request data is retained no longer than necessary to process the request. Membership records, exam invitations, responses and their status history are retained indefinitely for administrative and historical purposes unless an authorised administrator deletes data or a legal obligation requires otherwise. Expired technical access secrets may be erased without deleting the administrative status history.

Can I have my personal data deleted sooner?

If you would like your personal data to be deleted sooner, email us at info@toryu.nl. We will remove your personal data from our system within a few days.

Can I see which personal data you hold about me?

You can also email us at info@toryu.nl for this request. We will tell you which data we have stored about you or confirm that it has already been deleted.
